Job Purpose:

This position is based at the head office and directly reports to the program Manager. S/he will be responsible for assisting the program manager in managing, coordinating, and monitoring the implementation of the deliverables of the Program. S/he will assist the Program Manager in managing the SNFI and CASH Program portfolio that includes SNFI and CVA intervention. Working in close coordination with the Program Manager, provide support to contributing to program outcomes. S/he will play a major role in the day-to-day coordination with field staff and other departments in the organization to ensure the timely execution of the different activities

Key Responsibilities

The Program Coordinator is Responsible for assisting the program manager in managing the SNFI and CASH program portfolio and coordinating the Program activities. the program Coordinator will be responsible for the following:

  • Program Portfolio Management
  • Assist the Program Manager in developing the program strategy in line with Violet’s organizational mission and strategy.
  • Assist the Program Manager in identifying relevant stakeholders in Syria context.
  • To assist the Program Manager in managing emergency response projects for both CVA & SNFI interventions and CCCM projects or any other related projects.
  • Direct management of field teams with professional staff coaching technical supervision and provision of the required support.
  • Supervise the implementation of projects by ensuring that technical requirements and quality standards and donor requirements are considered and respected during project implementation.
  • Track the progress of the project’s activities and ensure the collection of project indicators on a regular basis.
  • Provide on-time internal status reports and external partner reports according to the agreed timeframes.
  • Act as a focal point for 4Ws reports for SNFI and CCCM Clusters.
  • Actively participate in the CCCM, SNFI clusters, and CWG during the absence of the Program Manager.
  • Maintain positive relationships with the partners/donors.
  • Ensure timely and quality reporting of the project’s progress to the partner/donors.
  • Follow up the updates at the field level (displacement movements, COVID- 19 etc.) and adapt the response according to the field situation in coordination with all stakeholders.
  • Manage the expenses of the projects and use the resources and utilize the resource based on cost proficiency and both internal and donor requirements and manage the forecasting of the budget in a regular basis in close coordination with finance team.
  • Follow up the MEAL activities which is related to the project.
  • Discuss closely with MEAL team about the best practices and lessons learned for the dedicated project.
  • Coordinate closely with the other support departments; MEAL, Media, Logistic, and Safety and Security to organize and track the related operations.
  • Develop and raise the required procurement requests and follow up the contract process related to the project’s activities.
  • Ensure that feedback received from community members, project participants and key stakeholders is well undertaken and addressed.
  • Ensure the gender, protection and safeguarding are integrated into program design and implementation.
  • Respect and apply all the PSEA and child protection principles and show high commitment to report any PSEA & CP action.

Staff Management and capacity building:

  • Develop the Programs team skills and train the junior staff to adapt Violet programs SoPs.
  • Ensure Violets Programs staff receive strong line management, performance appraisal, and coaching and support.
  • Accountable for Violet’s staff work planning and delivery of results.
  • Manage the Programs team, including staff in Syria and HQ office.

Reporting:

  • Preparing monthly narrative report stimely and accurately
  • Tracking the admin and financial issues in an issue log
  • Reviewing the databases and ensuring that they are properly prepared before submission to the donors.

Coordination:

  • Facilitate the coordination with the MEAL and supporting departments including finance, Media, logistics, and HR
  • Participatein clusters or working groups, if assigned
  • Actively participate in cluster or network meetings and represent Violet towards INGOs and peers, when assigned.

Accountability and safeguarding:

  • Monitor and address the complaints and feedback received under the assigned projects in coordination with the senior accountability officer.
  • Identify lessons learned from the complaints and feedback received and apply them to the projects, where possible
  • Collaborate with the safeguarding focal point to ensure all child safeguarding and PSEA measures are applied and followed in the project.

Partnerships:

  • Assist the Program Manager in Identifying potential funding opportunities from institutional donors, private donors, and foundations as well as the private sector.
  • Assist the Program Manager in developing proposals and concept notes for projects; proposal development for assigned calls with the support of concerned departments, if needed.

Note: the above mentioned key responsibilities / accountabilities are illustrative ones. Another future responsibilities/accountabilities may be assigned to the job depending on the department organizational chart.

Qualification (Education/Work Experience)

A. Essential:

  • University degree in Business Administration, Political Science, development studies or similar
  • Experience working in Syria Context, humanitarian organizations, or similar
  • Fluent level of English, Arabic. Turkish language is a plus.

Technical Competencies

  • Computer skills (Very good in Microsoft Excel, Word, Access, and Outlook)
  • Good understanding of the situation and response in NWS.
  • Strong written and verbal communication skills required.
  • The ability to assess cultural and social realities and adapt to work accordingly.
  • The ability to handle various deadlines and time management skills.
