Shafak was officially established in 10-10-2013 (registration no. 27-016-129). It was founded during the early months of the Syrian Crisis in 2011. At its core, Shafak is a grassroots NGO that was formed by Syrians for Syrians, with the intent of addressing the needs of their life with dignity, equality and humanity with a focus on sustainability and autonomy.
Shafak is an impartial, independent, non-profit NGO that exists for the express purpose of providing humanitarian services to vulnerable people regardless of political or religious affiliations and on the long run to contribute to recover and rebuilding the society on freedom, justice and equality basis.

Role Purpose
This role will support the Grants Manager in the planning, securing and managing of grants. This role will work collaboratively with Shafak partners and all departments and support to ensure smooth management of program awards, sub awards and contracts, focusing on donor compliance and accountability. This position will also be responsible to build the capacity of staff, award information management and shares, and coordinates information across departments.
Key areas of accountability and responsibilities:
· Support the effective dissemination of grants information so that all key contributing staff have a clear understanding of Shafak processes and donor requirements and expectations throughout the lifecycle of an award (opportunity to close-out).
· Co-ordinate Awards Kick-Off meetings as requested by the grants manager.
· Effective and prompt communication with partners on their grants.
· Support the Grants Manager in preparing/ review of Funding strategy and Master budget in line with policies/procedures required.
· Support budget-holders in preparing their program budgets, so they are systems compliant, in coordination with finance, and in-line with donor mapping.
· Prepare monthly monitoring reports, in line with revised Key Performance Indicators (KPI’s). Assist program manager in preparing donor budgets.
· Schedule and facilitate BvA meetings with relevant budget-holders regularly.
· Lead with award closeout, helping project managers to ensure all tasks are completed as per the closeout checklist and that all required closeout documentations are kept on file.
· Develop and maintain reporting tracker and ensure processes to remind and trigger report preparation for staff is in place
· Maintain details of reporting format and requirements for all donors.
· Ensure that all the reports are reviewed and signed by relevant persons
· Support the Grants Manager to identify potential issues and amendment requests and ensure they are flagged promptly to donors via the Grants Manager and the Programs Director.
· Support the country office to ensure robust and comprehensive records are maintained for all grants to meet audit requirements.
· Work with internal and external auditors as necessary.
Required Qualifications, Experience and Attributes
Essential
Finance or Accounting qualification or at least at least 1-2 years’ experience in either finance or grants
Demonstrated experience in the development and management of budgets.
Demonstrated staff management experience.
Good negotiation, decision-making and interpersonal skills, and the ability to work as part of a team.
Good organizational skills, time management and ability to meet deadlines and work under pressure.
Knowledge of key donor reporting rules and regulations e.g. DFID, UN
Strong knowledge of Microsoft Excel required
Ability and willingness to dramatically change work practices and hours,
Fluency in English and Arabic both verbal and written
Ability to work under pressure alone and as part of a team
Desirable
Turkish Language
Experience living and working in Syria or neighboring countries
Experience of financial reporting systems
