ESSENTIAL JOB DUTIES/SCOPE OF WORK: (Essential functions, quality/quantity expected list of marginal duties and number of national/and or expat staff supervised)
KEY RESPONSIBILITIES AND ACCOUNTABILITIES:
Reporting under supervision, input and assistance of the Programme Coordinator - Rehabilitation)
· E-Mail correspondence within the organization and with external partners such as local NGOs, INGOs, rehabilitation centers and more
· Writing of minutes of meeting in English language
· Collection of weekly statistics from team, compilation and forwarding to each Rehab Dept.
· Timely and reliable submission of weekly reports
Translation
¨ Simultaneous oral translation (English/Arabic/Turkey) mainly during trainings, meetings with Syrian partners or staff, assessments, interviews and more
¨ Mastering of vocabulary specific to rehabilitation topics
¨ Written translation of manuals, correspondence, training material and more
Organization
· Assisting in the organization of trainings and events including logistical duties as part of setting up these events, and procuring material as necessary, inviting participants, organizing board and lodging and ensuring safe travels alongside with the security department.
· Scheduling external and internal meetings in agreement with the Programme Coordinator-rehab
· Representation of the department under supervision, input and assistance of the Programme Coordinator-rehab.
Collaboration with Rehab Centers
¨ Regular personal and online meetings with representatives of the rehab centers for monitoring and follow-up
¨ Update programme manager on all meetings
¨ Manage referral to/from other IMC depts. (PSS, medical, community health, wash etc.) and other organizations national and international organizations.
Logistics and procurement
¨ Collaboration with finance, logistics and procurement departments on logistics and procurement procedures
¨ All PRs of the Rehab Department: Writing and processing, follow-up and filing
¨ Keep record of the rehabilitation materials within the office ware house and big ware house, materials taken and needed by the team etc.
¨ Follow up with donation, GIOs etc.
¨ Management of logistics and procurement procedures under initial supervision and assistance of the programme manager
QUALIFICATIONS: (Training/education/experience/physical demands required; provide 6-8 requirements)
¨ At least 1 year working experience in a similar position, ideally in the Humanitarian sector
¨ Written and oral proficiency in English and Arabic, including vocabulary specific to rehabilitation topics, ideally knowledge of Turkish language
¨ Experience in Microsoft office applications, notably Word and Excel
¨ Competent in e-mail correspondence, writing of reports and minutes of meeting in English language
¨ Knowledge of procurement and logistics procedures in a company or a humanitarian organization.
¨ Experience in data collection and compilation.
¨ Ability to work under pressure and to reliably follow-up on multiple tasks simultaneously
