Basmeh & Zeitooneh is a registered Syrian Civil Society Organization in Turkey, works in Development and Relief domain where it has established an office in Gaziantep in 2014, and was officially registered in 2015.
Basmeh & Zeitooneh was launched in Lebanon September 2012 by group of volunteers with field visits to areas with high concentrations of the most marginalized and neediest Syrian refugees, the main goal of their visits was to assess the needs and to fill the gaps left by other aid agencies. The organization was officially registered as an NGO in Lebanon in 2014.
Nowadays, the organization has one information center in Urfa and two Community centers in Gaziantep and Urfa that are easily accessible by the refugees and their hosts, friendly and welcoming spaces where people can receive relief services, vocational training and peace education for children.

Job Summary:
The Admin Assistant will mainly be providing administrative support to ensure efficient operation of “**Basmeh & Zeitooneh- Turkey**” center in Gaziantep.
He/ She will support the Project Coordinator and the center’s staff through a variety of tasks related to organization and communication.
The admin job scope includes communicating via phone and email ensuring that all administrative assistant duties are completed accurately and delivered with high quality and in a timely manner.
Job Title: Admin Assistant (Secretary).
Line Manager: Project Coordinator/ Center Manager.
Subordinates: N/A.
Contract: Full Time/ 12 Months.
Location: Turkey/ Gaziantep.
Duties, Responsibilities and Tasks:
· Answer and direct phone calls.
· Organize and schedule meetings, appointments and beneficiaries registration (students & parents).
· Maintain the proper filing and archiving of center activities, including periodic computers back-up.
· Perform administrative tasks as photocopies, printing, scanning/ faxing documents, and minutes of meetings.
· Monitor and update the daily employees’ attendance sheets.
· Drafting letters and necessary forms and documents.
· Produce and distribute correspondence memos, letters, faxes and forms.
· Maintain contact lists of Project/ Center team (Teachers and Admin).
· Assist in the preparation of regularly scheduled reports.
· Check office supplies on a regular base and order them in cooperation with the Project Coordinator/ Center Manager and the Admin Officer.
· Provide general support to the beneficiaries and the center’s visitors (local authorities & relevant organizations ).
· Liaising with local authorities.
Education and Experience:
High school diploma is required; Bachelor Degree Field of education: Business administration or Secondary Education is preferable.
Specialized training in executive secretary or any other relevant background.
Minimum 2 years working in Office Administration.
Minimum 1 year experience of working with NGOs.
Required Skills:
· Good level of oral and written Turkish/Arabic Languages, English is an asset.
· Strong knowledge of Microsoft Office Suite (Excel & Word), knowledge of an Accounting Application is an extra.
· Good knowledge of could & data sharing applications (Google drive, Dropbox…).
· Proven admin or assistant experience.
· Knowledge of office management systems and procedures.
· Excellent time management skills and ability to multi-task and prioritize work.
· Excellent written and verbal communication skills.
· Strong organizational and planning skills.
· Flexibility and ability to work in a team.
· Attention to detail and problem solving skills.
· Ability and willingness to work overtime and on weekends (when necessary).
Requirements:
• Temporary Protection Residency (AFAD) in Gaziantep.
or
• Valid short term residency permit
