Job Summary:
The IT/Asset Assistant is responsible, under the close supervision of IT Officer, in setting up and maintaining the field site’s various IT systems and for asset management in close liaison with all departments to ensure an efficient IT support system and compliant asset management.
Essential Duties
- Ensure all assets are recorded in the asset list in an appropriate manner, including but not limited to physical monthly inventory, tagging and tracking of assets.
- Ensure the proper management of organizational assets and inventory according to IMC procedures and regulations, including but not limited to the regular maintenance of Gaziantep asset and inventory tracking sheet.
- Ensure all paperwork required for asset management are correct and complete.
- Ensure a proper tracking and recording process for the newly purchased assets/inventory and the ones transferred to staff is done.
- Support all office staff regarding the management/usage of designated assets.
- Ensure all equipment are maintained and tracked as per the donor and IMC Rules and Regulation.
- Maintain the operating systems, database management systems, network establishment and administration and basic software.
- Provide ICT daily support and trainings to staff, be responsible for training and supporting end-users with computers, printers, mobile devices, and any other IT device as necessary.
- Maintain and track hardware and software inventory.
- Accurately document instances of hardware failure, repair, installation, and removal.
- Supervise and ensure adherence to IMC Assets and Inventory management (registration, control and tracking) system is exercised and assist / support on its implementation.
- Actively promote PSEA (Prevention of Sexual Exploitation and Abuse) standards within International Medical Corps and amongst beneficiaries served by International Medical Corps.
- Other duties as required and deemed appropriate by supervisor.
Representation
- Represent IMC in a positive and professional manner to contribute to the creation of a positive image and overall credibility of the organization, notably through the application of IMC’s mandate, ethics, values and stand-point with regard to other actors.
Security
- Ensure the application of, and compliance with, security protocols and policies.
Reports
- Prepare weekly and monthly reports for assets and summary of IT activities, and submit to the IT Officer per the stated deadline.
Qualifications:
- In possession of Turkish ID or residence permit and valid passport.
- At least 1 year experience or equivalent combination of education and hands-on experience in data management and analysis, administration, logistics, ICT role or other relevant area, focus on network and server systems is a plus.
- Ability to multitask, think creatively and work with little supervision in an often stressful environment.
- Effective written and oral communication with ability to produce reports and present solutions.
- Ability to communicate technical information to non-technical users.
- Experience in NGO setting up is an asset.
- Very good reporting skills in oral and written form including the ability to clearly and concisely express ideas and concepts.
- Language: Fluent in English; Turkish and Arabic is a plus.
- Excellent knowledge and teaching ability of Microsoft Office®, especially MS Excel® and MS Word®
- No active criminal record.
