About Multeciler: The Multeciler Association, starting its operations in 2014, is a local NGO operating in many fields for the Syrians who have left their countries because of war and took refuge in Turkey. Priority activities include shelter, health, education, protection, social cohesion and employment. The range of activities carries from the health to shelter, education to work permits, and MHPSS to socio-economic support.

EVOLUTIONARY TARGETS OF POSITION:

The Logistics Officer is responsible for assisting in Multeciler’s logistics operation under direct supervision of Project Coordinator

RESPONSIBILITIES AND TASK DEFINITION:

1-Asset Management:

  • Properly record and tag all assets and inventory old and new in line with Multeciler policies and procedures.
  • Keep the asset register, asset cards and personal issue forms up to date with information of where each asset is/who it has been issued to. Send an updated asset register to the Project Coordinator on a monthly basis.
  • Perform a monthly asset check, report if any assets/inventory is broken, lost or stolen on the Inventory Loss/Theft/Damage report, to be counter signed by the Project Coordinator.
  • Perform a quarterly physical asset check with the Project Coordinator, print updated asset register, sign and file.
  • Record any damages or faulty items and arrange to have the fixed if possible/cost effective.

2-Fleet Management:

  • Assist in assessment of all drivers’ skills
  • Ensure that all vehicles have log books, and that all drivers or staff with driving privileges are filling them every journey. Any Multeciler vehicle without log book or sheet is not to be used.
  • Ensure that all drivers are properly licensed and all vehicles have: spare tire, first aid kits, emergency tool kit, emergency contact numbers, and internal vehicle numbers.
  • Ensure that all vehicles are safe and road-worthy.
  • Maintain administrative vehicle files for each vehicle.
  • Monthly compilation of vehicle log-sheets.
  • Schedule vehicle use to meet programmatic and operational needs.
  • Responsible for oversight of vehicle rentals including tracking of leases and payments.

3-Procurement:

  • Maintain procurement database and ensure procurement paperwork is complete and that all approvals have been obtained before purchases are made
  • Be responsible for the either direct procurement or follow up of procurement
  • Conduct market assessment when required
  • Make sure that procurement are done in lieu of Multeciler’s procurement procedures

4-Logistics Support

  • Be responsible for the management all the transportation of the goods for the Multeciler programs within Turkey.
  • Provide logistical support to distribute and deliver goods to Multeciler's partner and/or implementation sites as needed.
  • Be accountable for producing monthly warehouse consumption report and submit to Project Management for overall report where needed.
  • The Logistics Officer will conduct himself/herself both professionally and personally in such a manner as to bring credit to Multeciler band to not jeopardize its humanitarian mission.
  • Any other duties relating to the nature of the job as assigned by the Administration.

Note that this job description must remain flexible to respond to additional tasks or changes identified by the department manager.

PROFILE REQUIRED:

  • Willingness and ability to work effectively with a wide variety of people
  • Ability to work as part of a team and coordinate with project personnel
  • Good spoken and written English, Turkish and Arabic.
  • Computer literate and strong organizational skills.
  • Bachelor's degree in a relevant subject

· Previous NGO experience added advantage, If no NGO experience, strong previous work experience in project management, or experience working in a multinational position preferred.
