Purpose of the Position

Under the guidance and supervision of the Administrative Officer, and in close collaboration with the HR unit in Ankara, the Administrative & HR Assistant will provide support to office services by implementing administrative systems, procedures, policies, and monitoring administrative projects. He/she will uses a client-oriented approach to implement business solutions in key HR areas (i.e. benefits and entitlements, HR administration, recruitment, learning and development, etc.), as aligned with HR best practices, and in compliance with UNICEF HR rules and regulations.

Key Accountabilities and Duties & Tasks

Summary of key functions/accountabilities:

  • Search office files and records relating to a variety of topics for information and references. Select information and record in specified format on the basis of general instructions for use by others in preparing reports, correspondence, technical papers, project or programme plans and general reference documents.
  • Organize both internal and external meetings between the Ankara Office and high-ranking government partners, and provide secretarial support to such meetings when necessary. Handle sensitive and confidential information with tact and discretion.
  • Receive, screen, log and route correspondence, attach necessary background information and maintain follow up system with all sections within the office.
  • Prepare reports, minutes of meetings and draft correspondence from oral information ensuring that spelling, punctuation, style, presentation and protocol are correct. Type correspondence, documents and reports, some of which are confidential.
  • Coordinate visits, arrange appointments and maintains CFO’s calendar, receive visitors, place and screen telephone calls and answer queries with discretion.
  • In consultation with HR Unit in Ankara, analyze, research and verify information for the purpose of responding to staff queries on areas related to benefits and entitlements in Gaziantep office.
  • In consultation with HR Unit in Ankara, researches and analyses data and information to help identify training needs within Gaziantep office for the development of learning plans and other targeted training interventions; takes necessary actions to implement learning plans for staff in Gaziantep.Â
  • Maintains and updates a system which monitors the absence of Gaziantep staff.
  • Coordinates with HR Unit in Ankara to ensure follow up and timely issuance/re-issuance of UNLPs, residence and working permits, for all international staff and experts based in Gaziantep Office
  • In coordination with the HR Assistant in Ankara, prepares and updates Gaziantep staff list on a quarterly basis for security purpose
  • Perform all other duties as requested by the CFO from time to time.
  • To qualify as a Champion for every Child you will have

  • Completion of secondary education, preferably supplemented by technical or university courses in the area of human resource management, business administration.

  • A minimum of 6 years of progressively responsible human resources, administrative work experience required.

  • Fluency in English and in Turkishrequired. Working knowledge of another UN language would be an asset
