Sosyal Araştırma ve Rehabilite Derneği (SARD), in consortium with a Luxembourg based international NGO, has been addressing the emergency needs of Internally Displaced Persons (IDPs), who have been recently displaced by the conflicts inside Syria and are surviving in poor living conditions, with projects funded by international partner organisations, ECHO and UN agencies.
The position is based in Antakya, Turkey, with regular travel to Gaziantep (as well as Ankara and Istanbul)
PURPOSE:
To be accountable for the Antakya office human resource and administration functions to oversee the well-functioning of the Office through provision of efficient and proactive support, and implement robust administration processes and practices to ensure legal compliance and ensure that these facilities operate to the required standard;
- Responsible for Human resource function for Antakya office.
- Responsible for maintaining payroll and other HR functions.
- Responsible for ensuring that all administrative aspects of the Antakya Office are delivered according to best practice administration standards and in compliance with Turkish law and SARD policies;
- Responsible for maintenance of Antakya office facilities and office equipment
- Manage renewal and claims concerning all types of administrative insurances for the Antakya Office
- Manages the lease for the office premises and guest house(s)
- Plan and regularly monitor office expenditures to ensure smooth running of the office
- Liaise with Logistics to ensure that all travel arrangements are made for staff and visitors to facilitate their entry into the country
- Lead on organizing conference/workshops, staff meetings, events.
- To ensure that document retrieval and filing systems for reference and working documents within the Admin office are efficient and easy to access.
- Regularly update the staff lists, contact lists with key stakeholders.
- Respond to ad-hoc enquiries from the general public and communication received through the official SARD email address and where necessary forward to the appropriate people
- Any other responsibilities assigned by line manager
QUALIFICATIONS AND EXPERIENCE
Essential:
· University Degree qualification
· Minimum 1 year’s administration experience in non-governmental organization or other international relief/development body.
· Experience in dealing with Immigration and other government bodies
· Resourcefulness and creativity in developing the role of administration and ensuring the most effective support;
English/Turkish are required
Arabic knowledge is an asset
Desirable:
· Experience in administration support provision within an emergency response or highly dynamic environment
