Key Duties and Responsibilities:
Budget and Financial Management
· Prepare the master budget on a yearly basis, the projects’ budgets upon request;
· Maintain project budgets; update the budget vs actual on a monthly basis (Master & Grants, including a brief commentary on variances), including Donors’ budgets;
· Tracks TDA's existing budgets for multiple funding streams;
· Coordinate and support budget realignments and annual budget reviews, when relevant.
· Responsible for the overall compliance procedures of TDA;
· Prepare and regular update disbursement plans and forecast, lead the preparation of forecast, including for donor reporting;
· Track the Payment schedules from donors and funds transfer;
· Revise and update tools and templates for budget management and donor reporting.
Donor reporting:
· Prepare Donors’ financial reports;
· Ensuring compliance with donor’s requirements and TDA policies and procedures.
Accounting and Administrative:
· Records the daily transactions on the accounting systems, with proper allocation to projects, ensuring the sufficient supporting documents provided.
· Ensuring compliance of Disbursement by ensuring having all the required and sufficient supporting documents.
· Conducts monthly bank reconciliation and present to the management for approval.
· Handles day-to-day accounting and transactions, including invoicing and organization of receipts;
· Conducts monthly and quarterly financial reports for TDA Management;
· Organizes project finances, prepare budget projections and ensure cash flows and transactions are functioning and accurately reported;
· Manages financial reporting and records for multiple donors;
· Ensures the timely payment of invoices and reimbursement requests;
· Manages the procurement for office and project equipment, supplies and materials;
· Ensures compliance with TDA accounting manual and donor regulations;
· Maintains and enhance TDA's financial system;
· Assist with annual organizational and financial audits;
· When needed, handle logistical requests for projects, such as hotel and travel arrangements, conference administration and minor translation;
· Liaises with Turkish Legal Accounting firm to ensure TDA compliance with Turkish law.
· Tracks the monthly time's sheets of the employees, vacations, leaves.
· Updates the personnel main folder.
· Prepare for and follow up the recruitment process, draft TORs, advertise for posts, filtering CVs, provide shortlist for management; being part of the interview committee upon request and when needed.
Qualifications:
· Bachelor degree is required
· 2+ years of hands-on administrative and financial support experience
· Proficiency in Microsoft office, especially in excel.
· Excellent communication skills – written and verbal (English, Arabic, and Turkish is a plus)
· Ability to prioritize tasks
