General Description of the Organization:
Orange is a non-governmental civil society organization devoted to alleviating the suffering and improving the sustainability mechanisms of conflict affected population.
Orange partners directly with affected Syrian populations delivering humanitarian and development programmes, Livelihood, Education, and Protection, to enable them to improve their living practices and their sustainability mechanisms.
Orange also collaborates with national and international non-governmental organizations, local initiatives responding to the humanitarian Syrian crisis with capacity development programmes, to be better equipped with the skills they need to prepare and respond to affected population’s needs and to ensure that these communities, which we work within, are ready for any future disasters.
Job Purpose:
Under the supervision of Director of Operations, the role of Admin Support Officer is to support the office admin matters related to fleet, IT solutions, events/meetings coordination and other administrative issues (printing, scanning, documents formatting).
Duties, objectives and competencies:
Transport Management:
- Oversee the smooth operation of day-to-day Orange transport functions in Orange Turkey Offices (both Orange fleet and external transport services).
- Ensure that all Orange Standard Operating Procedures (SOP) with regards to safety and security of transportation are implemented and adhered to in the Orange Turkey Offices.
- Coordination with admin assistants in other offices to ensure that all movement plans are accurate.
Events/Meetings Management:
- Understand requirements for each event
- Plan event with attention to financial and time constraints
- Book venues or online platforms if the meetings are online and schedule speakers
- Manage all event operations (preparing venue, invitations etc.) in coordination with both finance and logistics.
- Do final checks at the day of the event (e.g. tables, technology) to ensure everything meets standards
- Oversee event/meetings happenings and act quickly to resolve problems
- Evaluate events/meetings success and submit reports
- Providing meeting minutes in both Arabic and English.
Other Duties
- Printing, filing, archiving, scanning and supporting the departments.
- Booking hotels, fights, venues in coordination with logistics when needed.
- Following up with procurement (office supplies and utilities)
- Formatting PowerPoint presentations for both trainings and meetings.
- Supporting in IT help-desk solutions (installing applications or problems solving)
- Coordination with the Syria team
Requirements:
- At least 3 years of relevant work experience in areas such as admin officer or administrator
- Strong computer skills in Microsoft packages, especially Excel and PowerPoint
- A flexible approach to work and willingness to take on extra duties, work additional hours or on weekends as required.
- Excellent in English, and Turkish Language is desired.
- Clean, trustworthy, planner, and active member.
- High Communication Skills and Representation
