Primary Duties and Responsibilities:
General
Managing access to google drive and maintaining an organised filing system, ensuring regular data backup and storage
Scheduling cross department meetings (eg team meetings, committees, board meetings) and scheduling external meetings for senior staff and board members
Taking and circulating notes as needed
Arranging staff travel as needed
Managing logins and passwords, and information on Jusoor’s accounts
Managing G-suites access for staff and volunteers, creating new accounts as needed, and removing accounts no longer needed
Notes at committee and board meetings
Manage data storage and back ups
Ensure drive is organized and files are shared (or not) with needed team members
Filing documents in the drive
Ensuring team is up to date with general developments Provide other administrative and logistical support as needed
Maintain confidentiality of Jusoors activities
Possible ad hoc responsibilities may include conducting basic research; document editing; drafting correspondence, summaries, and background materials; outreach tracking; reviewing grantee updates; collecting, compiling, and analyzing data in support of eligibility assessments, contacting vendors and distributors to get competitive offers, and peer and portfolio reviews; data entry; reviewing financial reports; and communications related projects.
Support to Fundraising and Donor relations
Create and send receipts for gifts given “offline” or through non receipted mechanisms
Managing the payment and back-end processing for all donation and giving platforms (credit cards up to date, organizational info correct, user permissions, payments etc.)
Downloading and organizing monthly reports from all Jusoor’s external giving platforms (Benevity, CanadaGives, Amply, StockGiving etc) and reconciling these with our bank accounts and Salesforce
Support to Communications
Manage info. Email account
Manage social media messages
Support to Executive Director
Prepare talking points for conferences / speeches as needed
Managing memos to staff between meetings, ensuring they are up to date
Support to Finance
Issuing invoices and receipts
Inputting QuickBooks entries with their reconciliation
