SUMMARY

The Procurement Assistant works under the supervision of the Procurement Officer. S/he is the interface with IMC personnel authorized to issue Purchase request. S/He represents the organization toward suppliers and the department toward customers. S/He is expected to adopt a professional and customer-based attitude and promote International Medical Corps and the Logistics Department’s image.

The Procurement Assistant is primarily responsible for a specific category of items and the deliverables of the Procurement section in support to International Medical Corps project activities and in compliance with the IMC internal and donors’ processes, rules and regulations. S/He is expected to conduct procurement activities in a transparent manner.

ESSENTIAL JOB DUTIES/SCOPE OF WORK

  • Performs administrative duties assigned by the Procurement Officer within the entire Procurement Section

· Knows the local market and available suppliers in Sanliurfa, Turkey. Selects the best suppliers to request quotes from as per price, quality, and availability, compatibility with existing IMC supplies & after sales service.

  • Responsible in establishing and maintaining a register for suppliers and prices including preparing vendor list for Sanliurfa Office.
  • Register the goods/service requisition in the procurement tracking.
  • Prepare goods receive notes (GRN) and Goods issue notes (GIN) upon receipt and dispatches of supplies as well as Packing List and Waybills.
  • Provide appropriate support for office and guest house maintenance
  • Conduct any other duties his or her supervisor might deem necessary within the Logistic Department in order to smoothen the flow of work, such duties will be within the employee’s reasonable capacity.
  • Acts as an interpreter – National language -English - for the Logistics Office if so required
  • Keep up constant training in order to strengthen the logistical skills and proper usage of implemented logistics procedures, rules and regulations.
  • This Job Description replace any previous Job Description given to you and is subject to revision by the Supervisor from time to time as IMC Country Management deems necessary which may include addition / removal of specific duties.

QUALIFICATIONS

  • Very good command of Turkish
  • Good English both written and spoken, Arabic is an added advantage.
  • Ability to cope with stressful situations and work with limited resources.
  • Excellent communication skills, both oral and written.
  • Excellent self-motivation skills.
  • Experience in effectively dealing with National and International staff. The ability to deal with a broad spectrum of people.
  • Excellent ability to handle multiple tasks and many administrative details in a fast paced and constantly changing environment.
  • Extremely flexible, and have the ability to cope with stressful situations and frustrations.
  • Creativity and the ability to work with limited resources.

  • A proactive person with initiative and drive, honesty with a high level of integrity; a team-player with good planning skills.

  • Must be able to work independently or in team under difficult and stressful conditions.

  • Advanced use of MS Excel and Word. Able to develop advanced complex excel inter-linked worksheets with functions and formula. Able to build staff capacity on design and use of excel forms.
