Basmeh & Zeitooneh is a registered Syrian Civil Society Organization in Turkey work in Development and Relief domain since 2014

Basmeh and Zeitooneh was launched in September 2012 with field visits to areas with high concentrations of the most marginalized and neediest Syrian refugees the main goal of the visits is to assess the needs and to fill the gaps left by other aid agencies. The organization is officially registered NGO in Lebanon in 2014.

Basmeh & Zeitooneh has established an office in Gaziantep and has started to work in Development and Relief domain as Syrian Civil Society Organization in 2014 & officially registered in 2015.

Nowadays, the organization has one information center in Urfa and two Community centers in Gaziantep and Urfa that are easily accessible by the refugees and their hosts, friendly and welcoming spaces where people can receive relief services, vocational training and peace education for children.

Job Summary:

Logistics / Procurement Officer will be responsible of providing support and back up Project Team with Logistics and Procurement for related project, maintain Logistics/Procurement Records regarding (Price Offer, Invoice, Packing List, Delivery Note, Warehouse, Inventory, Inventory Tracking…).

Location: Turkey- Gaziantep (This position will require occasional travel to other Basmeh and Zeitooneh Turkey offices).

Duties, Responsibilities and Tasks:

  • Respond to procurement/logistics requests related to supplies, materials, and other items for project beneficiaries and activities.
  • Ensure all procurement requests are completed with all the required information, and maintain a filing system to track open versus closed purchase requests.
  • Follow donor procurement procedures and regulations for procuring materials and other items, particularly to ensure that all procurements are:
  • Fully and transparently documented through purchase requests, purchase orders, request for quotation, Comparative Statements, Bid Analysis, Invoices and Delivery Reports.
  • When there are procurement delays, develop solutions in consultation with the project team.
  • Maintain a database of reliable vendors for supplies, services, and goods.
  • Inform supervisor of all market developments and procurement/logistics issues through daily briefings and bi-monthly reports.
  • Carry out routine checks to ensure that Organization facilities are in good condition for use, and procure maintenance services when needed.
  • Maintain an efficient inventory system for procured goods and materials, including office equipment and report any loss or damage to project supplies to the project manager as soon as possible.
  • Take responsibility of doing the movement plan for the project car and send it to the project manager in weekly basis.
  • Regularly track with the responsible people the use of materials and inform in advance of things that need to be ordered or replaced.
  • Perform other logistics tasks as requested to support the programs.
  • Ensure that all relevant financial documentation is accurately completed and submitted, as required by donor and Basmeh and Zeitooneh policies.
  • Comply with safety procedures at all times, and contribute to building a strong culture of staff safety in the project.

Education and Experience:

Bachelor Degree in Business Administration or related field

3-5 years of experience in Humanitarian NGO, Previous work experience in the same field is a must.

Required Skills:

  • Good level of oral and written Arabic/English Language, Turkish is an Asset.
  • Specialized training in procurement and/or logistics management.
  • Proven ability to train and/or deliver technical assistance in procurement/logistics.
  • Strong organizational and time management skills and flexibility to learn and take on new tasks
  • Advanced computer skills, specifically in MS Word, Excel, and Outlook.
  • Good knowledge of cloud & data sharing applications (Google drive, Dropbox…).
  • Excellent interpersonal and oral communication skills.
  • Develop and introduce vehicle/Transportation monitoring tools.
  • Team work spirit.
  • Ability and willing to work overtime and on weekends (when necessary).
