Job Summary:
The Logistics Assistant is responsible in assisting Syria & Turkey logistics department in support of the Logistics Manager with special focus on logistics tracking system and administrative support of all members of IMC’s Logistics Team in Turkey and Syria.
Essential Duties:
- In close liaison with the Procurement Assistant/Officer and Logistics Manager, ensure the proper tracking of all procurement processes managed by Syria & Turkey logistics department according to IMC procedures and regulations.
- Work on procurement tracking sheet for both TR and SYR on a daily basis and keep up to date the status of each procurement requisition.
- Follow up with Syria & Turkey logistics team members in both Turkey and in Syria on daily basis to ensure proper capture of all procurement pipeline info.
- Assist in the full documentation of all active and completed procurement files in a well-organized filing system according to IMC regulations.
- Keep track of all cross borders shipments, update shipments tracking sheet and liaise on daily basis with warehouse assistants to ensure all pipeline information are well captured.
- At the discretion of the Logistics Manager assist in the review and filing of all Syria logistics team members HR related info and assist to ensure payrolls are accurate and timesheets are duly completed and submitted in a timely manner.
- Perform administrative duties including documents distribution, collection and filling and assist to update and to compile logistics-related monthly reports.
- Keep close communication with other support departments in IMC’s field sites in South Turkey.
- Actively promote PSEA (Prevention of Sexual Exploitation and Abuse) standards within International Medical Corps and amongst beneficiaries served by International Medical Corps.
- Other duties as deemed necessary by the supervisor
Representation
- Represent IMC in a positive and professional manner to contribute to the creation of a positive image and overall credibility of the organization, notably through the application of IMC’s mandate, ethics, values and stand-point with regard to other actors.
Security
- Ensure the application of, and compliance with, security protocols and policies
Reports
- Prepare weekly and monthly reports for logistics operations and summary of procurement activities, and submit to the Logistics Manager per the stated deadline.
Qualifications:
- In possession of Turkish ID or residence permit and valid passport (or similar recognized ID)
- Minimum 1 year experience in working in Logistics Section.
- Experience in administrative duties and data entry.
- Computer literate (MS Office and MS Outlook).
- Good communication skills.
- Independent workers and team player.
- Able to work under fast pace environment and perform tasks when required.
- Language: Advanced in English. Turkish and Arabic are a plus.
- Excellent knowledge of Microsoft Office®, especially MS Excel® and MS Word®
- No active criminal record
