Local Hire with fluency in Turkish and English

Position: Admin & Finance Assistant

Base Location: Gaziantep

Reporting To: Admin and Finance Officer

Contract Duration: One year with possibility of extension

Desired Start Date: ASAP

Closing Date: October 28, 2017

RESPONSIBILITIES AND DUTIES:

Finance

  • Prepare day-to-day financial payment vouchers for financial transactions,

  • Record all financial transactions within the Organization cash and bank books ensuring that transactions are recorded in line with the Organization Chart of Accounts,

  • Ensure that all the documentation comply with the QC and donor policies and procedures, including ensuring compliance with the procurement procedures,

  • Supporting in preparing daily, weekly and monthly reconciliation of cash and bank balances,

  • Review and finalize reconciliation sheets, financial reports and supporting documents of the partners projects and for the field offices inside Syria for onward approval of the line manager.

Administration, Safety and Security

  • Ensure that all the admin related matters are effectively executed as per departmental plan,

  • Collect, review and file all the staff attendance on a monthly basis,

  • Arrange travel and visas as required such as booking flights, amending flight reservations, booking hotels, arranging local permits, coordinating transport arrangements, etc.

  • Ensure that all the visitors are properly taken care of,

  • Assist in ensuring that necessary safety and security measures are in place for the staff, assets and offices in Gaziantep and inside Syria,

  • Support staff ensuring that security guidelines for the staff, assets and office are complied with at all times,

  • Assisting to ensure that the office vehicles and all other resources are effectively planned, utilized and properly taken care of,

  • Providing general administrative support to the Management Team as required,

  • Any other financial/administrative tasks that are required by the Line Manager.

Job Requirements:

  • Have at least 2 years working experience with INGOs/NGOs

  • A degree qualification in Finance & Accounting

  • Excellent Financial reporting and Accounts management skills

  • Excellent Computer skills (Outlook, Excel, Word and Power Point)

  • Fluency in both oral and written Turkish and English is essential

  • Knowledge of Arabic would be an asset
