Job Purpose:
The Admin & Finance Officer (AFO) is responsible for leading the Admin and Finance Department in Gaziantep Field Office. The AFO will provide technical support for Admin and finance staff based in Syria.
ESSENTIAL RESPONSIBILITIES AND DUTIES:
Finance
Prepare day-to-day financial payment vouchers for all financial transactions,
Record all financial transactions within the Organization cash and bank books ensuring that transactions are recorded in line with the Organization Chart of Accounts,
Ensure that all transactions comply with the Organization and donor policies and procedures, including ensuring compliance with the procurement procedures,
Ensure that all accounting records and supporting documentation for all financial transactions are maintained in a systematic order,
Prepare daily, weekly and monthly reconciliation of cash and bank balances,
Maintain a schedule of regular and contractual payments and ensure that these payments are made,
Monitor, follow up and reconcile cash advances given to the staff,
Assist in preparing balance sheet reconciliations for and its Program partners,
Review and verify the reconciliation sheets, financial reports and supporting documents of the partners projects and for the field offices inside Syria.
Administration, Safety and Security
Ensure that all the admin related matters are effectively planned, consulted and executed at the Gaziantep office and inside Syria,
Draft formal letters and documents in Turkish/English for administrative purposes as and when required,
Supervise the process to collect, review and file all the staff timesheets and boarding passes on a monthly basis,
Supervise in managing travel and visas as required such as booking flights, amending flight reservations, booking hotels, arranging local permits, coordinating transport arrangements, etc.
Ensure that all the visitors are properly taken care off,
Ensure the office is well supplied with stationery and other office essential materials,
Ensure that necessary safety and security measures are in place for the staff, assets and offices in Gaziantep and inside Syria,
Prepare the security and safety guidelines for the staff, assets and office in line with the Safety and Security policy and ensure compliance at all levels,
Ensure that the office vehicles and all other resources are effectively planned, utilized and properly taken care off,
Providing general administrative support to the Management Team as required.
Payroll
Prepare monthly calculation of the Organization payroll for review and authorization,
Process salary payment to staff and prepare pay-slips on a monthly basis,
Responsible for managing social security and income tax payments,
Any other financial/administrative tasks that are required by the Supervisor.
Job Requirements:
Have at least 3 years working experience with INGOs/NGOs
A degree qualification in Management / Finance & Accounting / Public Administration
Familiarity with the Sustainable Development Goals, humanitarian principles, SPHERE, Do No Harm, and other international standards for emergency work
Excellent Financial reporting and Accounts management skills
Excellent Computer skills (Outlook, Excel, Word and Power Point)
Fluency in both oral and written Turkish and English is essential. Knowledge of Arabic would be an asset,
