Position & Title: Logistic & Procurement Officer
Reports to : Logistic Manager.
Job Type: Part-Time
Location: Turkey / Gaziantep.
Summary:
Logistic & procurement officer responsible for the overall logistics management activities, procurement activities and transportation activities and in compliance with the BHO internal and donors’ processes, rules and regulations.
TASKS AND RESPONSIBILITIES:
A-Logistic:
Plan and ensure all necessary arrangements and documentation for all the shipments are in line with BHO procedures and practices.
Maintain suppliers’ individual files with relevant administrative documentation.
Closely monitor transportation activities and related documentations.
Ensure the safety and the security of the shipping materials from BHO warehouse to the final destination.
Maintains the BHO Turkey asset register.
Supervise the offloading and stacking of the commodities.
Prepare tally sheet of received and dispatched cargo.
Maintain accurate records of all stock held in the warehouse in accordance with the guidelines in BHO’s Warehouse and Commodity Management Manual
B-Procurement:
Tenders preparation and analysis of data provided by suppliers and prepare all the supporting documents.
Make sure that BHO procurement policies and formats are properly used.
Prepare supplier’s databases and update them cautiously.
Compilation and preparation of status reports on deliveries for Programs, office Management and recipient of supplies.
Knows the local market and available suppliers. Selects the best suppliers to request quotes from as per price, quality, and availability, after sales service.
Uses all means of communication available in the most efficient manner to contact the suppliers.
Presents the procurement documents to the Finance Office and participate that payment is completed in a timely manner.
Work with partners’ logistics to ensure procurements performing under respective with BHO are completed following BHO procurement procedures and donor requirement.
Make copy of completed procurement documents scanned / hard copy.
KNOWLEDGE AND EXPERIENCE:
University degree in a relevant field.
Experience working in the NGO sector is desirable at least 2 years.
Attention to details.
Flexibility to travel and work in remote areas if it is needed.
Ability to negotiate.
Excellent oral and written communication skills in Turkish and intermediate level of English.
High level knowledge on MS Office Programs.
Experience in accounting programs.
Turkish Nationality or citizenship.
