Description
Scope of Work:
The HR assistant assists the HR Coordinator in an effective and progressive HR Management organization. The HR Assistant is responsible to promote quantitative aspects of HR. She/he is in charge of all administrative issues for international staff and HR for national staff.
Major Responsibilities:
· Adhere to MWL HR policies and procedures
· On boarding of new MWL employee, as the Assistant HR Manager will be the first focal point for newcomers.
· Assist in resolving administrative problems related to all departments by collecting information, preparing notes to the file, and getting approvals.
· Guarantees that personal files of all staff are administered with appropriate quality.
· Be responsible for the logistical arrangements of meetings, workshops and other events in collaboration with logistics department.
· Prepare meetings, trainings, and workshops materials.
· Draft agendas take minutes at meetings and workshops and maintain attendance sheets.
· Type correspondence, reports and other documents, requested by the HR Coordinator in English and Arabic
· Prepare all necessary documentation and make all arrangements for movements and missions.
· Payment preparation and follow up for employees and consultants working with MWL
· Tracking, following up and collecting of time sheets and is responsible of them.
· Maintain a tracking system for all MWL leave balance.
· Maintain and update the HR electronic and hard filing system
· Maintain the confidentiality of all sensitive HR information at all times.
· Show flexibility is supporting other field offices when necessary
· Ensure update of the HR database and periodical reporting to the HR Manager.
· Reports to HR Manager all relevant information on HR situations.
· Prepares certificates and other HR documents when needed.
· Complete and archive employees’ files (Hard & soft copies).
· Accountable for the efficient storage of employee information.
· Any other tasks or responsibilities assigned by the HR manager.
Requirements
· Bachelor’s degree
· 2+ years relevant work experience in office administration or human resources.
· Basic accounting skills preferred
· Ability to multi-task and work under pressure.
· Demonstrated success working and communicating effectively across teams and in a multi-cultural environment.
· Strong ability to work independently, organize work, meet deadlines, maintain composure, prioritize work under pressure, coordinate multiple tasks and maintain attention to detail
· Strong sense of personal integrity.
· Personal qualities: Works well in and promotes teamwork, comfortable in a multi-cultural environment, flexible and able to handle pressure well.
· Proven ability to contribute both independently and as a key team member;
· Self-starter with excellent problem solving skills combined with the ability to prioritize duties and manage time effectively;
· Fluent in English and Turkish.
· Proficient in MS Office applications (Word, Excel, Outlook) and strong keyboarding skills and internet usage skills; database familiarity a plus
