Background information:
RET International, www.theRET.org, headquartered in Geneva, with offices around the world, was founded in December 2000 by Mrs Sadako Ogata, then United Nations High Commissioner for Refugees, in response to a crying but barely addressed need for greater access to and quality of post-primary education for refugees, returnees and the internally displaced. RET International is an independent, impartial, non-partisan organisation and with no religious or political affiliation. RET International has strategic alliances with UNHCR, UNESCO – IBE, etc. RET International has a wealth of experience working with adolescents and youth in displaced situation in Africa, Asia and Latin America. RET International is registered in Turkey since February 2014.
Position: Admin & Finance Officer
Deadline to apply: 31 December 2015
Duration of the position: 6 months
Work place: 1 for Gaziantep, 1 for Mardin and 1 for Şanlıurfa, totally 3 positions
Start Date: As soon as possible
Reports to: Finance Manager
Financial support
· Custody of petty cash fund including preparing forms, ensuring adequate supporting documentation and correct coding for expenses in accordance with RET’s policy and procedures.
· Review partners’ financial report and supporting documentation to ensure that it is adequate and supports the expense in accordance with CO finance policies.
Administrative support
· Purchase of office supplies and stationary
· Arrange for office cleaning and maintenance
· Receipt and distribution of office incoming mail
· Maintain updated log of the staff and visitors travel itineraries
· Maintain updated contact list
· Follow up on residences rent and maintenance issues.
· Manage drivers and staff movement including preparing movement request forms and notifying security about staff movement
· Manage staff and visitors transportation and bookings for housing/hotels.
· Ensuring office assets are safeguarded and maintained.
Procurement support
· In close collaboration with the Procurement Officer, manage office procurement including preparing purchase requests and other needed documentation in accordance with RET’s Country Office (CO) procurement policy and procedures.
· Ensure all procurement files are properly maintained and safeguarded.
· In close collaboration with the Administrative Officer, update asset registers as needed and in accordance with CO policies.
Program support
· Assist program managers and other program staff with program files, contract files. Scanning documents and other documentation.
· Assist program staff with partner financial and administrative management issues including translations as needed.
· Perform any other duties assigned by the supervisor
